Inventory Count Sheet Template

A physical count sheet organized the way counts actually happen: by storage area, in shelf order, with an explicit count unit per item and a recount column for anything that looks wrong. One sheet per location, signed and dated.

Columns in this template

  • Header: location, counter, date, and time — a count without a timestamp cannot be reconciled against sales
  • Storage area — group by walk-in, freezer, dry storage, bar, so the sheet is walked, not searched
  • Count unit — count in one unit per item (cases or eaches, never “some of both”)
  • Count and recount — flag surprises and recount before accepting them
  • Notes — damage, near-expiry, and anything that explains a variance later

How to use it

  1. Pre-fill items per storage area in shelf order before count day.
  2. Count at a consistent time — end of day or before open — so sales don't move under you.
  3. Two people go faster and cleaner: one counts aloud, one writes.
  4. Recount anything that differs wildly from expectation before you accept it.
  5. Enter the results the same day; a count sheet in a drawer is not a count.
