Consumables are a PAR-level problem
Cleaning chemicals, paper towels, bathroom supplies, laundry detergent, trash bags, and locker room consumables are not retail. They are operational inputs, and the right framework for them is PAR level, not reorder point.
PAR level is the minimum on-hand quantity at the start of an order cycle. For a gym, PAR by item looks like:
- Disinfectant spray (72-oz jugs): PAR = 6, order to 12 — enough to cover the week with a buffer for busy class days
- Paper towels (12-roll cases): PAR = 4, order to 8 — one delivery per two weeks

The PAR formula: PAR = base demand per cycle + safety stock + manual buffer. For consumables with predictable demand and no perishability concern, the safety stock component is small. What drives variance is class schedule changes — a cardio-heavy week burns through disinfectant spray faster than a stretch-and-lift week.
The practical issue in most gyms is that consumables get ordered reactively: someone notices the supply room is bare, there is an emergency Costco run, and the owner ends up paying retail prices. Formalizing PAR levels for the top 10 consumables and putting them on a biweekly reorder schedule typically reduces the total spend 10-15% just from eliminating retail-price emergency purchases.
Equipment procurement is a different discipline

The supplier invoice is the payment request. All three should align on quantity, price, and terms before the bill is approved.
The supplier portfolio for a gym
A typical gym or fitness studio manages 4-8 active suppliers across categories:
